WHO ARE WE?

Automated Document Services Ltd (Auto Docs) are a leading supplier of bound volume scanning for the heritage sector, general scanning across multiple customer bases, and on-shore data capture services with guaranteed accuracies. The experienced team at have a history of over 14 years’ in handing sensitive scanning and data capture projects and ensuring successful delivery of all key contractual components, to the satisfaction of our customers. Auto Docs production process and all aspects of the service we perform are proud to be certified by BSI with ISO 27001 Information Security and ISO 9001 Quality Standards. With facilities in Glasgow and London each capable of handling all types of scanning work, Auto Docs can deliver digitisation projects UK wide and beyond. The Auto Docs team have much expertise in working on-site at customer premises to deliver the high standard of product we are renowned for.

WHAT DO WE DO?

Auto Docs manage digitisation projects end to end, from liaising with the content keeper on your behalf, arranging transport, store, care for and return physical volumes or documents for scanning. By removing the difficulties from the logistical side of physically acquiring the paper for digitising we are enabling our customers to focus on what is important to them, the images & data we produce. We scan and digitise the data using our own staff and methods and techniques developed over a number of years. We produce digital images in various formats including TIF and PDF, full colour and B & W. Metadata in formats including XML and we also offer services additional to this including re-binding and printing of special one off images or complete volumes.

HOW DO WE DO IT?

We have our own Auto Docs transport, our own drivers and work to very careful shipping, transport and handling guidelines to take your documents directly to and from storage in our facility. All documents in and out are tracked to the volume level throughout all processes and can be reported upon at any time. Scanning commences and sampling is performed. Run rates, targets, ramp up and ramp down, daily outputs – we can adapt to any expectations. We have enough capacity to carefully increase and decrease production as required by or customers and the ability to handle tens of thousands of images per day, all quality assured. All parties are kept informed of progress via reports and outputs are made to the customer requirements on a scheduled basis, and this includes digital images, metadata, reports, manifests, and captured data.

Facilities

The Auto Docs facilities are temperature & climate controlled with tight security measures in place. London and Glasgow facilities boast on site 24/7 manned security with external monitored CCTV together with our own monitored CCTV and red care ADT fire and intruder security systems. Door entry systems are also present in both locations permitting access control & restriction combined with full recording & tracking reporting. Our facilities also have monitored pest control. Every measure possible has been adopted to ensure the safe and secure custody of our customer’s documents whilst in our care.

Equipment

We use i2s scanners which we believe offer exceptional image quality, robustness and reliability. We have scanned millions of images through our range of Copibook scanners and with features designed especially for scanning books and bound volumes, they are a very capable machine. Up to 600dpi optical resolution, cantilevered book cradle, capability to scan A2+ sized documents with a single overhead camera. We track and report on every single volume and document that passes through our processes. We log and record any information that may be of use to the customer when they receive the output data package. We believe attention to detail is key to successful projects. We guarantee the quality on all work produced We take pride in being able to deliver right the first time. All work is quality checked using operators and automatic processes. Rescan rates are typically below 0.1% measured over 5+milion scanned images.
